Overview

Google Drive is a dumping ground for every document, slide deck, and spreadsheet your organization produces. Finding the right file means remembering the exact name, which folder it's in, or who shared it. New employees and customers don't stand a chance.

The Google Drive integration lets your AI agent search files by keyword, return a summary of a document's contents, and list the files in a specific folder. Your team can ask a question in chat and get the file they need (or a summary of it) in seconds.

When to Enable This

  • Employees frequently ask “Where's the latest version of…?” and waste time navigating shared drives
  • You want the AI to summarize long documents so users don't have to open them
  • Customer support agents need to reference internal docs stored in Drive during conversations

Prerequisites

Before connecting Google Drive, make sure you have:

  • A Google Workspace or personal Google account
  • OAuth consent configured for the Google Drive API
  • The files and folders you want accessible shared with the authorized account

Setup Instructions

Step 1: Authorize Google Drive

  1. In ChatSpark, go to AI Actions
  2. Find Google Drive in the Library and click Enable
  3. Click Connect Google Account
  4. Sign in with the Google account that has access to the files you need
  5. Grant ChatSpark read-only access to Google Drive
Read-Only Access
ChatSpark only requests read-only permissions. Your AI agent can search and summarize files but cannot edit, move, or delete anything in Drive.

Step 2: Configure in ChatSpark

  1. After authorizing, select the chatbot(s) that should have access
  2. Optionally restrict to specific shared drives or folders
  3. Click Save

Testing Your Integration

After setup, open your chatbot widget and try these realistic queries:

  1. Ask: “Find the Q4 marketing budget spreadsheet”
  2. The AI should return matching files from your connected Google Drive

More test phrases:

  • “Summarize the employee handbook document”
  • “What files are in the Client Proposals folder?”
  • “Find the latest slide deck about our product roadmap”

Troubleshooting

No files found

Search is scoped to the authorized Google account's accessible files. Make sure the target files are shared with or owned by the connected account.

OAuth token expired

Google OAuth tokens refresh automatically, but if the connection breaks, go to AI Actions in ChatSpark and click Reconnect to re-authorize.

Large file summaries

Very large documents may be truncated in summaries. For best results, keep important information near the top of your documents.
